Overview

Cashiers are team members you assign to handle sales on your Point of Sale devices. Adding a cashier lets you delegate day-to-day transactions while you retain full visibility and control from your merchant dashboard.
You must have a Merchant Admin role to add or manage cashiers.

Prerequisites

Before you begin, make sure you have:
  • Access to your Bila merchant dashboard
  • The cashier’s full name and phone number
  • A unique username ready (e.g., mary.doe)

Step 1: Open Cashier Management

  1. In your dashboard, select Cashiers from the left side menu.
  2. Click the + Add cashier button at the top right of the cashier list.

Step 2: Fill in Cashier Details

Complete the New cashier form with the following information:

First name & Last nameThe employee’s legal name
UsernameUnique identifier — 3–30 characters, letters, numbers, and symbols (e.g., mary.doe)
PhoneContact number including country code (e.g., +260...)
Initial PasswordTemporary password, minimum 8 characters
The username cannot be changed after creation. Choose a consistent naming convention across your team (e.g., firstname.lastname).

Step 3: Create the Cashier

Once all fields are filled in, click Create cashier. The account is created immediately and the cashier can log in on any POS device using their username and password.

Managing Your Cashiers

After creation, each cashier appears in your cashier list. Use this view to monitor your team’s access and activity.

StatusACTIVE — the account is enabled and can log into POS
Password StatusMUST CHANGE — the cashier must set a new password on first login
Last LoginTimestamp of the cashier’s most recent POS session
For security, ask new cashiers to update their password immediately after their first login. Accounts with MUST CHANGE status enforce this automatically.
