# Wallets & Settlements

> Manage your wallet balances, sub-wallets, and settlement accounts, direct funds from specific wallets to different bank or mobile money accounts.

# Overview

Bila gives you full control over where your funds are settled. You can direct funds from specific sub-wallets to different settlement accounts, whether a bank account or mobile money depending on your business needs. If no specific settlement account is set on a sub-wallet, funds automatically settle to your default settlement account.

## Wallets

From the left sidebar, click **Wallets**. The Wallets page shows your **Main Wallet** and all your **Sub-Wallets**.

### Main Wallet

Your Main Wallet is your primary business wallet in ZMW. It shows:

| Field                 | Description                                |
| --------------------- | ------------------------------------------ |
| **Available Balance** | Funds available for use immediately        |
| **On Hold**           | Funds currently held and not yet available |
| **Total**             | Combined available and on-hold balance     |

From the Main Wallet you can:

* **+ Add Money** — top up your wallet
* **Transfer** — move funds between wallets
* **History** — view your full transaction history

### Sub-Wallets

Sub-wallets let you segregate funds for specific purposes — for example, a wallet per product line, service, or department. Each sub-wallet shows its name, currency (ZMW), available balance, hold amount, and its own **Transfer** and **History** actions.

  You can have multiple sub-wallets, each with its own settlement account. This gives you full flexibility to direct funds exactly where they need to go.

## Creating a Sub-Wallet

Click **+ Create Sub-Wallet** from the Wallets page. A panel slides in from the right.

| Field                  | Required | Notes                                                                              |
| ---------------------- | -------- | ---------------------------------------------------------------------------------- |
| **Wallet Name**        | ✅ Yes    | A name for this sub-wallet (e.g. *Petty Cash*, *Premium Polo Shirts*)              |
| **Description**        | No       | Optional description of the purpose of this wallet (e.g. *Purpose of this wallet*) |
| **Settlement Account** | ✅ Yes    | Choose where funds from this wallet settle. See options below                      |

### Settlement Account options

When creating or editing a sub-wallet, you can assign a specific settlement account from the dropdown:

| Option                              | Description                                                               |
| ----------------------------------- | ------------------------------------------------------------------------- |
| **Use merchant default**            | Settles to your default settlement account (recommended for most wallets) |
| **A specific settlement account**   | Select any verified account (e.g. *TRUST CHOCHA — airtel • 0971438668*)   |
| **+ Create new settlement account** | Add a new bank or mobile money account on the spot                        |

  If no specific settlement account is set on a sub-wallet, funds automatically settle to your **default settlement account**.

Click **Create Wallet** to save, or **Cancel** to discard.

## Settlements

From the left sidebar, click **Settlements**. The Settlements page lets you track all funds settled to your bank or mobile money account.

### Summary cards

At the top of the page you will see three summary cards:

| Card                     | Description                                           |
| ------------------------ | ----------------------------------------------------- |
| **Total Settled**        | Total amount settled to your accounts (e.g. K 103.88) |
| **Successful**           | Number of successful settlements                      |
| **Pending / Processing** | Number of settlements currently being processed       |

### Tabs

| Tab                     | Description                                                |
| ----------------------- | ---------------------------------------------------------- |
| **Settlement History**  | A full log of all past and pending settlement transactions |
| **Settlement Accounts** | Manage your bank and mobile money accounts for settlement  |

## Settlement Accounts

Click the **Settlement Accounts** tab to view, add, and manage the accounts your funds are settled into.

The accounts table shows:

| Column              | Description                                                       |
| ------------------- | ----------------------------------------------------------------- |
| **Account Name**    | The name of the account holder or account label                   |
| **Type**            | Whether it is a **Bank** or **Mobile Money** account              |
| **Account Details** | Bank name and account number, or mobile operator and phone number |
| **Status**          | Whether the account is **Verified** or pending verification       |
| **Actions**         | Edit the account, delete it, or **Set as Default**                |

  Your **default** settlement account is marked with a **Default** badge. All wallets without a specific settlement account assigned will settle here automatically.

To set a different account as your default, click **Set as Default** next to the account you want to use.

## Adding a Settlement Account

Click **+ Add Account** from the Settlement Accounts tab. A two-step panel opens:

**Step 1 — Account Details → Step 2 — Confirm OTP**

Choose your **Destination Type** first:

    Fill in the following fields:

    | ------------------ | -------- | ---------------------------------------------------------------------------------- |
    | **Bank**           | ✅ Yes    | Select your bank from the dropdown (e.g. Indo Zambia Bank)                         |
    | **Transfer Type**  | ✅ Yes    | Select the transfer type for this bank                                             |
    | **Account Number** | ✅ Yes    | Your bank account number. Bila verifies the destination automatically once entered |
    | **Bank Branch**    | ✅ Yes    | Your bank branch (e.g. *Lusaka Main*)                                              |
    | **Sort Code**      | No       | Your bank's sort code if applicable (e.g. `010101`)                                |
    | **Swift Code**     | No       | Your bank's SWIFT code if applicable (e.g. `SBICZMLX`)                             |

  <Tab title="Mobile Money">
    Fill in the following fields:

    | Field             | Required | Notes                                        |
    | ----------------- | -------- | -------------------------------------------- |
    | **Transfer Type** | ✅ Yes    | Auto-set to **Mobile Money**                 |
    | **Phone Number**  | ✅ Yes    | Your mobile money number (e.g. `0977103049`) |

    Settlement details shown automatically once you select Mobile Money:

    > **Arrives same day • Fee: 2% • Transfer fee: K15.00**

Click **Next** to proceed to Step 2, where you confirm the account with a one-time OTP sent to your registered number. Click **Cancel** at any time to discard.

## Setting a Custom Settlement Account on a Sub-Wallet

Previously, all funds from a merchant's different wallets settled into a single default account. You can now assign a specific settlement account to each individual sub-wallet.

    From the left sidebar, click **Wallets**.
  </Step>

  <Step title="Click the edit icon on the sub-wallet">
    Find the sub-wallet you want to configure and click the **pencil (✏️) icon** next to the wallet name on the wallet card. This opens the **Edit Wallet** panel.
  </Step>

  <Step title="Update the wallet details">
    The Edit Wallet panel lets you update:

    | Field                  | Notes                                                                                    |
    | ---------------------- | ---------------------------------------------------------------------------------------- |
    | **Wallet Name**        | The name of this sub-wallet (e.g. *Premium Polo Shirts*)                                 |
    | **Description**        | Optional description of the wallet's purpose (e.g. *A selection of Premium Polo Shirts*) |
    | **Settlement Account** | Choose where funds from this wallet settle — see options below                           |
  </Step>

  <Step title="Choose a settlement account">
    In the **Settlement Account** dropdown, select one of the following:

    | Option                              | Description                                               |
    | ----------------------------------- | --------------------------------------------------------- |
    | **Use merchant default**            | Settles to your default settlement account                |
    | **A specific verified account**     | Select any of your verified bank or mobile money accounts |
    | **+ Create new settlement account** | Add a new account on the spot                             |

  <Step title="Save your changes">
    Click **Save Changes** to apply. Funds collected into this sub-wallet will now settle to the account you selected. Click **Cancel** to discard.
  </Step>

<Warning>
  If no settlement account is set on a sub-wallet, all funds will automatically settle to your **default settlement account**. Make sure your default account is always verified and active.
